In the oldest telling, ten suns rose together and scorched the earth. The archer Hou Yi shot down nine of them and was rewarded with an elixir of immortality — enough for one person. He would not drink it without his wife, Chang Er, so he hid it away.

When an apprentice tried to steal the elixir, Chang Er drank it herself rather than surrender it. She rose beyond reach and settled on the moon, where she has stayed since, accompanied by a jade hare that grinds herbs with a mortar and pestle. Hou Yi laid out her favourite fruits and cakes in the courtyard and looked up. The custom stuck.

One thing this run sheet deliberately does not show: the crew is on site well before 5:30 and still there after 8:00. Live stations, game booths and workshop tables all need setting up and taking down, and that time sits outside the programme window entirely.

Book the venue wider than the programme
A three-hour celebration is not a three-hour venue booking. Reserve the space with setup and teardown time either side, and confirm those windows with us when you book — the more live stations and game booths in your order, the longer they run. This is the single most common venue clash we see.

Splitting the workshop into two batches is the single change that most improves a Mid-Autumn event. It halves the table count you need, keeps the game booths busy instead of idle, and gives every guest a reason to move at least once.

Circulate the timed programme internally. If workshop batches are capped, open registration now and collect dietary and accessibility needs at sign-up. For virtual sessions, this is the deadline for delivery addresses.

Final week

Confirm numbers and brief crew

Reconfirm headcount, delivery windows and setup times. Brief whoever is shepherding guests between zones, and decide who holds the microphone at 7:45.

Two things that reliably go wrong when they are left late: venue power, because several live stations need their own points and a courtyard rarely has enough, and final headcount, because a workshop is portioned per person and cannot absorb twenty extra walk-ins.
